Objective

A new feature of TIMSS on the web is that Members will be able to update and maintain their personal information e.g., address, phone number, e-mail, ethnicity.  Given current privacy concerns, privacy regulations and the advice of the USTA Legal Dept, we needed to ensure that Members' data remained secure in the new on-line environment.  In order to ensure this security, we issued over 520M Members initial passwords on 1/12.  From that date on, Members need to log on to USTA.com and change their initial password to one of their preference in order to transact online (e.g., renew their Membership, update their personal data). 

            Mailing's Content

The mailing's content was straightforward.  It contained:

1         An explanation of the new on-line capability regarding the ability to maintain Member data in a self-service way.

2         Step-by-step instructions for changing an initial password to one of their preference

3         Information on automatic entry into a Grand Prize Drawing for a $500 Wilson Merchandise Package if the Member updated their password before 2/28/05

4         The sweepstakes terms and conditions -- due to the laws governing sweepstakes in this country, only residents of the 50 US States are eligible to participate.

Who Received the Mailing?

o  Current active primary members.  

o  Dependents and Life Members did not receive the mailing since they do not need to renew their Memberships.

      o  If a Life member would like a password in order to review their personal information on line, they can call the   800 # in order to get one. 

What is required of Members

o        Members should change their passwords in order to transact, i.e., renew on the web, and also be automatically entered into the sweepstakes.  

Results

As of 1/24, 60,000 Members have activated (changed) their passwords.

 FAQs

Q: What happens if a Member discarded their password OR never received one and wants to change their password? 

A:  The Members should call the 800 # on the back of their Membership card. (800-990-8782)    USTA Members Services will be able to assist Members in completing all transactions.

Q: What do Members need to do to qualify for the sweepstakes?

A: Members should go to the website and change the initial password to one of their choice.  There are no other required actions to qualify for the sweepstakes.  

Q: Do Members need to update their password in order to use Tennis link?

A: No, Members do not need to update their passwords to use Tennislink.   

Q. What happens to the initial passwords after 2/29/05 ?

A: The initial passwords are valid indefinitely.  The Member can go on at any time and change their password to one of their choice.  

Q: What members didn't receive the password mailing?

A: Any dependents of Families Members and Life Members did not receive the mailing since they do not need to renew their Membership.  

Q.  What about new Members who joined after the mailings were sent - how do they get their initial password?

A: For new Members who join on-line, they were required to choose a password in order to complete that transaction.  

For new members who joined via the phone or mail, they can call Member Services and request an initial password.  Member Services will e-mail their password to the e-mail address on file.  If the member does not have an e-mail address on file, as long as the person can provide enough personal information to verify identity then the Member Services representative can give the Member the information over the phone.  If the Member cannot provide the information requested, then a password will be mailed to the address on the system.

Q: If I'm an active member and have not updated my new password yet and try to register for League play in  TennisLink will I be able to register?

A: If the Membership is valid through the end of the league season, then the Member should be able to register.  If the Membership is not valid through the end of league season, then the Member should renew their Membership.  If the Member has not activated their initial password, they must do so in order to transact on the web.  If the Member has lost their password, they should call Member Services.

Q.     Can league coordinators renew their league players on-line?

A: League coordinators do not have access to Members passwords due to our commitment to keep Members personal data confidential.  Therefore, they cannot access a Members account on line.
